How to switch from Service Autopilot in an afternoon, with undo

The planA small lawn or cleaning business can aim for an afternoon of setup and one full cycle of side-by-side running. A big route history takes longer. Import tools into Apex are demo status and not connected to saving real data, so confirm by hand.

Before you start

  • Export your customer and service list from the old system.
  • Check your annual term date [3].
  • Write down every recurring service with interval and price.
  • Note features you use that sit in higher tiers, such as automation [4].
  • Keep the old account open through the test cycle.

The steps

  1. Find the export in your current softwareCheck the vendor help center and ask support what you can download, since the export location and file format were not verified. Do this first, before you touch anything in Apex, and save the files to a folder you control.

  2. Check the file by eyeOpen the exported customer list and count the rows. Spot check ten customers against what the old screen shows: phone, address, notes. Fix obvious gaps in the spreadsheet now.

  4. Rebuild recurring schedulesCopy them from the schedule screen, since how recurring services are stored was not verified. Write each repeat customer, interval and price on paper first, then recreate the plan in Apex and compare the next three dates.

Keep the old account active until Apex has run one full cycle. Its pricing is quoted on annual rates [3], so check the term date before cancelling. Switch protection is demo status and export on cancel is partly built, so save your own copies and do not assume an automatic rollback.

Switching questions

Do I need Elite features to leave?

No. Texts, portals and accounting links in Elite [5] are things to rebuild or reconnect in Apex one at a time, and some are demo or partly built, so keep notes.

Can Apex import my old customers?

Importing from competitor exports is demo status. Treat any import as something to check by hand, and ask about done-for-you migration, which is partly built.

Will my recurring routes carry over?

Not automatically. Not automatically. Recreate each repeating service in Apex by hand, then compare the next three dates against the old schedule before you cut over, and keep notes of any differences.
