How to switch from Pool Brain in an afternoon, with undo
The planA small pool route can usually move in an afternoon if the data is tidy. Equipment lists, chemical readings and per-body-of-water records may take longer. Import from other software into Apex is rolling out and still demo status, so verify records by eye before you rely on them.
Before you start
The steps
- Find the exportSearch the vendor's own help center for customer and route exports. The export format was not verified here [1]. Download everything available and keep a dated copy somewhere other than the old account.
- LD16Customer export (CSV) at any time(In progress)
- Inspect the fileOpen it in a spreadsheet and look for blank addresses, split names and duplicates. Pool records with several bodies of water per property need special care, so mark those rows before importing.
- LD15Customer import from CSV/other software(In progress)
- LD02Multiple properties / service locations per customer(Rolling out)
- Import and compareLoad a sample into Apex and check ten customers against the old screens. Compare address, phone, service day and notes. Import is demo status today, so the first pass is a trial only.
- OB02Import from competitor with side-by-side check(Rolling out)
- OB04Import from Jobber / HCP / Workiz / ServiceTitan exports(Rolling out)
- Recreate recurring routesRebuild each weekly stop list and view it on the route map. Fix stop order before any customer hears about a change. Recurring job creation is partly built, so confirm it by hand.
- SC10Recurring jobs auto-generated(In progress)
- SC05Route optimization (daily)(Built)
- Send a test requestUse the booking page to send yourself a request, see it land pending, confirm it, then cancel it. This checks the full path from request to confirmed visit.
- BK11Booking requires owner approval (request mode)(Built)
- BK24Reschedule / cancel link for customer(Built, rolling out)
- Run in parallel, then cut overKeep running service from Pool Brain for one cycle while Apex shadows it [1]. When the numbers agree, move the route and keep your export file as the backup.
- OB14Switch protection (never lose data, ledger)(Rolling out)
Apex status for the import and switch tools is shown beside each step. Status as of 2026-10-07.
Undo plan
In progress
Leave the Pool Brain account untouched until Apex has completed one full cycle, then going back just means continuing with it [1]. Apex can export customers as CSV at any time, and export on cancel is partly built. Switch protection is demo status, so there is no automatic rollback.
- OB14Switch protection (never lose data, ledger)(Rolling out)
- AD10Data export on cancel(In progress)
- LD16Customer export (CSV) at any time(In progress)
Switching questions
Does Apex track chemical dosing?
Pool Brain lists automatic dosing [3]. Apex has a pool service pack and a dosing calculator as early designs, not finished tools, so a pool company that depends on dosing should test carefully before moving.
What does this pool software cost?
The pages we read advertise a 30 day free trial but did not give reliable plan amounts [5]. Check the vendor's own pricing page. Apex starts at $59 a month for one user.
Can I keep my accounting link?
Pool Brain lists QuickBooks Online [4]. Apex's accounting sync is a demo feature, so keep your accounting flow on the old system until the new one is tested.
