How to switch from Housecall Pro in an afternoon, with undo

Facts about Housecall Pro were read from its own pages (see the comparison). Verify before you act. Reviewed 2026-10-07.

The planA small business with a short customer list can move off Housecall Pro in an afternoon. [4] [6] Longer job histories take longer. Apex import tools for competitor files are a demo so far, so budget time to check each record yourself and to key some by hand.

Before you start

  • Confirm you are an admin, since only admins can export lists. [6]
  • Leave your Housecall Pro account active and paid while you test. [4]
  • Note recurring jobs with day, price and window.
  • List connected tools and payment settings.
  • Pause automated reminder messages before you test in Apex.

The steps

  1. Export from Housecall Pro [6]In Housecall Pro, an admin opens Customers or Jobs, clicks Actions, selects Export, confirms the email address and sends the file. [6] A CSV arrives by email, usually within an hour. [6]
    • LD16Customer export (CSV) at any time(In progress)
  2. Check the fileOpen the export in a spreadsheet and scan for missing phone numbers, merged names and odd address formats. Keep the original untouched, and work on a copy so you can always compare back to it.
    • LD11Duplicate customer detection and merge(Rolling out)
  3. Import into Apex and compareLoad the copy into Apex and use the side-by-side check against the original rows. This import path is a demo and is not connected to saving real data yet, so confirm every row on screen.
    • OB02Import from competitor with side-by-side check(Rolling out)
    • OB04Import from Jobber / HCP / Workiz / ServiceTitan exports(Rolling out)
    • LD15Customer import from CSV/other software(In progress)
  4. Re-create recurring schedulesSet each recurring service again from your notes. Recurring job generation is partly built, so compare the first generated visits against what Housecall Pro showed for the same customers. [4]
    • RC01Recurring service plans (weekly/monthly)(Rolling out)
    • SC10Recurring jobs auto-generated(In progress)
  5. Test a request end to endSend a test request from your booking page. It should show as pending. Confirm it, then check the calendar entry, the reminder message settings and the customer's reschedule link.
    • BK11Booking requires owner approval (request mode)(Built)
    • BK24Reschedule / cancel link for customer(Built, rolling out)
    • CM03Appointment reminders (SMS/email)(Built, rolling out)
  6. Run both for a full cycleRun Housecall Pro and Apex side by side for one full billing cycle. [4] Enter new work in Apex, check both calendars each morning, and fix any mismatch at its source before cutting over.
    • OB14Switch protection (never lose data, ledger)(Rolling out)
  7. Cut overOnce both agree for a full cycle, move your website booking link to Apex and tell customers. Texting stays off until your provider account and carrier number registration are in place.
    • CM0210DLC / registration handled for you(Rolling out)
    • BK02Embeddable booking widget for website(Built, rolling out)
  8. Keep the backupStore the exported files somewhere you control. Housecall Pro's pricing page says it has no long-term contract requirement, so you can cancel when you are ready. [4] [4]
    • AD10Data export on cancel(In progress)

Apex status for the import and switch tools is shown beside each step. Status as of 2026-10-07.

Undo plan

In progress

Undoing the switch means keeping Housecall Pro open until Apex has run a full cycle. [4] [4] Because that vendor states no long-term contract, you can cancel later without a lock-in described on its pricing page. [4] Apex switch protection is a demo, and data export on cancel is partly built, so keep your own copies of every file.

  • OB14Switch protection (never lose data, ledger)(Rolling out)
  • AD10Data export on cancel(In progress)

Switching questions

Can I export from Housecall Pro myself [6]?

The help center says admins can export customer and job lists from the Actions button, and the CSV is emailed. [6] We did not check exports for invoices or estimates, so look in the help center for those.

Does Apex import a Housecall Pro file today [4]?

Not for real data yet. Import from competitor files is a demo, built and tested but not connected to saving real data. Treat any import as something you check row by row.

Do I have to stay on a long contract?

Housecall Pro's pricing page says it does not require long-term contracts. [4] [4] The pages we read did not cover every plan or billing case, so confirm your own terms before cancelling.
