How to switch from Fergus in an afternoon, with undo
The planA small team with a clean customer list can move in an afternoon. Long job history and certificates take more time, and may stay in the old account as an archive. Import from the old system to Apex is rolling out and still demo status, so verify what arrives.
Before you start
- Keep your old account open until Apex has run a full cycle.
- Note that cancellation takes effect at the end of the billing period [4].
- List open quotes and unpaid invoices to finish in the old system.
- Write down your accounting link, Xero or QuickBooks [6].
- Pause automated texts from the old account on cutover day.
The steps
- Find the old system's exportLook in the vendor's own help center for customer and job exports. The file format was not verified here [1]. Download everything available and store a dated copy away from the old account.
- LD16Customer export (CSV) at any time(In progress)
- Check the fileOpen it in a spreadsheet and look for blank addresses, merged names and duplicates. Keep only the history Apex needs, and leave older jobs and certificates in the archive.
- LD15Customer import from CSV/other software(In progress)
- Import and compareLoad a sample into Apex and compare ten customers against the old screens for address, phone and notes. Import is demo status, so the first pass is a trial run.
- OB02Import from competitor with side-by-side check(Rolling out)
- OB04Import from Jobber / HCP / Workiz / ServiceTitan exports(Rolling out)
- Rebuild recurring workRecreate repeating jobs with their days and assigned staff, then view each on the calendar. Recurring job generation is partly built, so confirm dates by hand.
- SC10Recurring jobs auto-generated(In progress)
- SC01Drag and drop calendar (day/week/month)(Rolling out)
- Test a request end to endSend a test request through the booking page, see it arrive pending, confirm it as the owner, then cancel it. This checks the full path before real customers use it.
- BK11Booking requires owner approval (request mode)(Built)
- BK24Reschedule / cancel link for customer(Built, rolling out)
- Run both, then cut overKeep quoting and invoicing in Fergus for one cycle while Apex runs alongside [1]. When totals agree, move over, then cancel the old account only after confirming the end-of-period date [4].
- OB14Switch protection (never lose data, ledger)(Rolling out)
Apex status for the import and switch tools is shown beside each step. Status as of 2026-10-07.
Undo plan
In progress
Do not cancel the old account until Apex has run one full cycle; the page says cancellation takes effect at the end of the billing period, and plans are month to month [4]. Apex can export customers as CSV at any time, and export on cancel is partly built. Switch protection is demo status, so there is no automatic rollback.
- OB14Switch protection (never lose data, ledger)(Rolling out)
- AD10Data export on cancel(In progress)
- LD16Customer export (CSV) at any time(In progress)
Switching questions
What does texting cost?
Fergus lists SMS alerts at $15 per 100 texts [5]. Apex does not include texts in any plan. They run on your own provider account, or a prepaid wallet that is rolling out.
Can I cancel the old account right after moving?
Wait. The page says cancellation takes effect at the end of the billing period [4], and you should keep the account until Apex has run a full cycle with your real jobs.
