The explanation

The record belongs to the vehicle. Year, make, model, plate and mileage at last visit let you set the next due date from time or miles, whichever comes first. Many shops ask for a mileage at check-in and nothing else, and then lose the pattern.

Use two reminder types. A service interval reminder says it has been a stretch since the last oil change, and offers a time. A follow-up on declined work says the brake pads were at a certain level last visit, so you can plan the repair. Declined work is often the most valuable list in the shop.

Keep records honest. Do not suggest a service the car does not need, and note what you recommended, so the next visit continues the story. A customer who finds the shop remembers the car returns, and stays.
