How to stop reminders?

Process: Reminders and texting. Reviewed 2026-10-07.

Short answerTo stop appointment reminders, a customer usually replies STOP to a text or uses the unsubscribe link in an email, while an owner cancels or reschedules the visit and then turns off the reminder template if it should not run. Reminders for cancelled visits should never go out, so check that the cancellation actually reached the reminder system.

The explanation

From the customer side, the opt-out must be easy. A text provider typically treats the word STOP as a request to cease all messages from that number. Honor it immediately and do not re-add the person later without fresh consent. For email, a working unsubscribe link is the standard.

From the owner side, the common problem is a reminder for a visit that no longer exists. A customer cancels by phone, someone forgets to update the schedule, and the system texts them the day before. Make cancellation a single action that also stops the reminder.

If you want to stop reminders for a whole service, such as emergency calls, switch off that template rather than deleting the messages. Then test by creating a fake booking and confirming nothing is sent. Record opt-outs on the customer so no one on your team promises a reminder you cannot send.

Steps

  1. Customer: reply STOP to the text or use the email unsubscribe link.
  2. Owner: cancel or reschedule the visit so its reminder is removed.
  3. Owner: switch off the template for services that should not get reminders.
  4. Test with a fake booking and record opt-outs on the customer.

What to watch for

  • Re-adding someone who opted out without new consent.
  • Cancelling a visit in a calendar that is not linked to the reminder system.

How Apex does it

Built, rolling out

Built. A real server path exists; only setup steps remain before customers can use it. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex has opt-out and quiet hours, an automatic unsubscribe footer on email and appointment reminders. These are built, but texting only works once the owner connects a provider account and completes number registration.
