Service plan and maintenance agreement: what it means

DefinitionA service plan, also called a maintenance agreement or membership, is a standing arrangement in which a customer receives scheduled visits at an agreed price, often billed monthly or yearly. It gives the business predictable revenue and the customer priority and routine care.

How it works in a service business

A plan usually states what is covered, how many visits per year, the price, how renewal works, and what happens if the customer wants to stop. HVAC and pool companies sell them heavily because the revenue repeats and catches problems early. The tradeoff is promises: the more a plan includes, the more you must deliver, even in busy weeks. A common mistake is writing a vague plan that says regular service without naming visit counts, which invites arguments. Another is forgetting renewals, so plans lapse silently. Put the visit count, the price, the renewal date and the cancellation steps in writing, and keep each visit scheduled automatically so nothing depends on memory.

Example

A heating company sells a yearly plan with two tune-ups, one each fall and spring. The system creates both visits, sends a renewal reminder before the anniversary date, and records each service.
