Payroll export: what it means

DefinitionA payroll export is a file or report that packages each employee's hours, overtime and commissions from the scheduling or timekeeping system so a payroll service or accountant can process pay. It saves retyping and reduces arithmetic errors.

How it works in a service business

Without an export, someone copies hours from timecards into another system by hand, which invites mistakes and delays. With one, the data arrives in a format the payroll provider accepts. The tradeoff is that formats differ between providers, so a mismatch can still need cleanup. A common mistake is exporting before timecards are reviewed, locking in errors. Set a cutoff, have someone approve edits and missing clock-outs, and then export. Also check how the file treats overtime, unpaid breaks and job-based pay rates. Most scheduling tools export data but do not run payroll themselves, so confirm whether yours is a report, a direct connection or a full payroll product. Keep copies of every export with the pay period date.

Example

On Monday the office manager reviews timecards, fixes two missed clock-outs and exports the pay period to a spreadsheet that her accountant uploads to the payroll service.
