Virtual assistant and executive assistant: scheduling questions answered
How it worksA virtual or executive assistant sells time, not truck rolls. The visit model is the consultation: a discovery call, then a retainer or block of hours, then standing check-ins with a business client. Work runs year-round with no weather, though client quarter-ends and launches create busy stretches. Customers are commercial, so the contact is often one person who books for a team. Scheduling pain comes from calls scattered across email threads, unclear hour limits, and clients who treat a retainer as unlimited.
How scheduling works in this trade
- Discovery calls are short and sold on trust, so a clear booking link with a stated length and an intake form saves the back-and-forth that eats a free hour each week.
- Retainers work best as a stated block of hours per month with a rollover rule written down, otherwise clients assume unused or extra hours carry over without limit.
- Standing weekly check-ins should be recurring appointments, not fresh emails, so a client's slot is held and a missed one is visible to both sides.
- Time zones matter because many clients sit elsewhere, so a booking page should show the slot in the client's own zone and the confirmation should repeat it in words.
Questions owners ask
How should a virtual assistant book discovery calls?
Use one booking page with a fixed call length, a short intake form and a confirmation that repeats the time in the client's zone. Add a lead-time rule so nobody books ten minutes ahead. The intake answers let you decide before the call whether the work is a fit.
Should a virtual assistant confirm every call request by hand?
Yes at first. A request that arrives pending lets you check scope, budget and your own load before you commit a slot. Once you know your pattern, you can approve repeat clients faster. Treat the request as pending until you confirm it, so nobody believes a slot is held when it is not.
How do I track retainer hours without a separate spreadsheet?
Record each retainer as a plan with a set number of included hours and note usage against it after each work block. Review the balance at every check-in so a client hears about overage from you before the invoice, not on it. Clear limits prevent most billing arguments.
What is the best way to run standing weekly check-ins?
Set them as recurring appointments with the same day and time, and send a reminder the day before. If a client skips two in a row, flag the account for a call. A held, visible slot makes it easy to spot drift early and protects your own calendar.
How do I handle clients in other time zones?
Show availability in the viewer's own zone on the booking page, and state the zone by name in the confirmation and reminder. Avoid writing only a clock time in email. Most missed calls between distant clients come from each side reading the same time in a different zone.
Do I need a deposit for a virtual assistant engagement?
Many assistants take the first block of hours up front, because the work starts before the first invoice cycle. Whether to do this is a business choice. The point is to state the rule on the booking page and the proposal so the client agrees before the first task, not after.
How should I send a service agreement to a new client?
Send a short written agreement that names the hours, the response time you can promise, the notice needed to cancel and what counts as out of scope. Have the client sign it online before work begins. Keep the signed copy attached to the client record so you can find it later.
What happens when a client no-shows a scheduled call?
State a grace period in your policy, such as waiting a set number of minutes, then mark the call as missed and offer one reschedule. Whether to charge for the time is your call. A written, accepted policy turns an awkward moment into a routine step.
How do I price an assistant package so scheduling stays simple?
Pick a small menu: a fixed monthly block of hours, a pay-as-you-go rate and a one-off project price. Fewer options mean fewer custom quotes and fewer calendar exceptions. Put each option on the booking page with its duration and price so the client chooses before the call.
What should a virtual assistant move off email first?
Move the inbound request first, because lost leads cost the most. A web form that lands in one list, with a follow-up reminder on each lead, beats searching a crowded inbox. After that, move recurring check-ins and signed agreements, since both are easy to lose in threads.
What owners dislike in an old scheduler, for virtual assistant and executive assistant
Each item carries a label. Sourced items adapt a complaint with evidence links in our evidence register. Searched by owners items come from real search suggestions. Our read items are our own analysis of this trade, not measured complaints.
- SourcedOwners report that per-user pricing punishes growth. For a solo assistant who adds one subcontractor for a busy quarter, an extra seat can change the monthly cost more than the extra work earns. Evidence item 1 (4 sources)
- SourcedOwners report that cancelling field-service software can be hard. An assistant with project-based clients may stop using a tool for months, so an easy cancel and restart matters more than a long contract. Evidence item 6 (6 sources)
- SourcedOwners report trouble getting their data out of old software. A virtual assistant's client list and notes are the whole business, so export access should survive a cancelled plan. Evidence item 9 (4 sources)
- SourcedOwners report stitching several tools together for calls, texts and email. For an assistant, that means a lead can sit in a form inbox while the follow-up lives in a different app. Evidence item 14 (5 sources)
- SourcedOwners report features sold as add-ons that stack up the monthly price. A one-person practice feels this fast, because a few small extras can exceed what the booking tool is worth. Evidence item 16 (5 sources)
- SourcedOwners report reports that do not answer a real question. An assistant needs to see hours used against each retainer, and a generic revenue chart does not show that. Evidence item 10 (5 sources)
- SourcedOwners report automated follow-ups that keep firing after the customer replies. A prospect who answered your proposal by email should not get three more nudges from the system. Evidence item 12 (4 sources)
- Our read, not a measured complaintRetainer creep is the trade's own pain: clients quietly ask for extra tasks and the hours blow past the block. Most scheduling tools track appointments, not hours consumed against a retainer.
- Our read, not a measured complaintDiscovery calls with poor-fit leads cost real time. Tools that skip an intake step let anyone book a half hour, and a busy assistant ends up giving away unpaid strategy sessions.
- Our read, not a measured complaintMany assistants work odd hours across zones, so a calendar that only shows business hours in one zone causes missed calls and late-night surprises for both sides.

Honest limits
Apex is a scheduler for appointments and visits, not a task manager, timesheet billing tool or project board. It does not track minutes worked per task in the way a time tracker does. Texting needs a connected provider and number registration first.
