How do security companies schedule guard shifts?

Build each contract as a set of posts with required hours, then assign guards to cover them. Show open shifts in a color so gaps stand out. Check each guard's availability and hours before assigning, since fatigue and overtime are the usual cost of a loose schedule.

How should a patrol route be scheduled?

Set the route as a recurring list of stops in a fixed order with a time for each. The same route runs on set nights, with the option to skip a date. A guard can open the day's stops on a phone, and the office can see when a stop was marked complete.

How do I staff a one-off event?

Create the event with a date, start and end, headcount and a client contact. Hold the guards tentatively and release the hold if the client does not confirm by a set date. Collect a deposit to secure the booking and confirm the final headcount a few days out.

What happens when a guard calls off?

Mark the shift urgent, offer it to a standing list of backups and reassign as soon as someone accepts. Notify the new guard and the site contact. Keep a record of the call-off for the contract file, since some clients ask for coverage reports.

How do I track guard licences?

Store each guard's licence number and expiry date and set a reminder before it lapses. Do not schedule a guard whose licence has expired. Requirements differ by state and by armed or unarmed status, so confirm what applies with your state licensing agency.

How do emergency or after-hours requests work?

Use an urgent tier on requests, with a rule for who is called and how quickly. An after-hours request should be acknowledged right away with an expected response time. Never promise a guard on site until someone has confirmed availability.

How should I price guard services in a quote?

Price by the hour per guard with a stated minimum, and show any overtime or holiday rate. For contracts, quote the posts, hours and term. For events, quote headcount and hours. Put the rate method in writing so the client agrees before the first shift.

How do I send a contract and collect a signature?

Send a service agreement listing posts, hours, rates, term and termination notice, and have the client sign online. Attach the signed copy to the client record and renew on a set date. A written scope protects you when a client disputes coverage.

What reports do clients expect from a guard service?

Common requests are patrol completion, incident notes and hours worked. A scheduler can show completion of scheduled stops and hours assigned. Detailed incident reporting is usually a separate record. Agree with the client up front on what they will receive and how often.

What should a guard company move off paper first?

Honest limits
