How it worksAn optometry office runs on exact slots, not arrival windows. A routine exam, a contact lens fitting and a medical eye visit each take a different length of time, and the exam lane, the equipment and the doctor all have to be free together. Patients return on a cycle the doctor sets, often yearly, so the schedule depends on recall. The work happens at the office, so there is no drive time to plan.

How scheduling works in this trade

  • Each visit type needs its own length. A glasses check, a contact lens fitting and a red-eye medical visit do not share one 20 minute template, so every service needs its own duration and its own rules.
  • Pretesting, the exam and the optical counter are separate stops in one visit. Two patients can collide at the same machine even when the doctor is free, so rooms and equipment need their own limits.
  • Recall drives the year. Routine exams come back on a cycle the doctor sets, so a list of last visit dates and a reminder sent at the right time fills more chairs than a one-off promotion does.
  • A contact lens fitting often needs a short follow-up check. Putting that second visit on the calendar before the patient leaves the desk keeps it from being forgotten.

Questions owners ask

How long should each optometry appointment type be?

Set the length from your own history, one duration per visit type: routine exam, contact lens fitting, follow-up check, medical visit. Start with the time your slowest doctor really needs, then trim. A single default length either wastes chair time or runs the whole afternoon late.

How do I stop two patients getting the same exam slot?

Check availability at the moment of confirmation, not when the page loaded, and give each exam lane its own capacity. A slot held for a few minutes while the patient finishes the form stops a second person taking it. Phone staff and the online page must read from one calendar.

Should new patients be able to book an eye exam online without approval?

It depends on your front desk. Many offices let existing patients pick a slot directly and send new patients through a request that staff confirm after checking insurance or visit reason. A pending request holds nothing until someone confirms it, which protects the doctor's day.

How do I reduce no-shows for eye exams?

Confirm at booking, remind a day or two before, and make rescheduling one tap so a patient with a conflict does not simply skip. Texting needs the office's own provider account and number registration set up first. A short written cancellation policy shown at booking sets the expectation.

When should yearly recall reminders go out?

Send the first reminder a few weeks before the due date so there is time to find a slot, then a second if there is no reply. Stop the sequence the moment the patient books or replies. Sending exactly on the anniversary leaves no room to fit anyone in.

Can patients reschedule their own eye exam?

Yes, if you give them a reschedule link that shows only real openings and respects a minimum notice window. Set the notice so a slot freed at the last minute is still worth refilling. Anything outside the window should go to a person rather than a self-service page.

How do I handle a same-day red eye call?

Keep a few held openings each day for urgent visits and flag the request as urgent so it rises above routine bookings. Staff, or the doctor's own triage rules, decide whether it is a same-day visit. A scheduler cannot judge clinical urgency, only reserve the time.

What should I collect when a patient books an eye exam?

Collect the visit reason, whether they wear contacts, and a phone number that can take texts. Leave insurance details and clinical history to your records system. The more clinical detail a booking form asks for, the more care you must take with where that data is stored.

Do I need a deposit for eye exams?

Most offices do not ask for one on routine exams. A deposit or a card on file is more common for long fittings or for patients with repeated missed visits. Decide per visit type, state it clearly at booking, and apply the same rule to everyone.

Can a field service scheduler hold my patients' exam records?

No. A scheduler holds appointments, contact details and reminders. Exam findings, prescriptions and insurance claims belong in your clinical records system. Keep those out of notes fields and booking forms, and ask your records vendor how it handles appointment feeds before you connect anything.
