Nail salon: scheduling questions answered

Trade group: Personal care and beauty. Reviewed 2026-10-07.

How it worksA nail salon sells short, exact appointments, often 30 to 90 minutes, across several technicians who each have their own pace and specialties. A gel manicure with art takes longer than a basic polish change, and a pedicure often needs a chair that is shared. Demand runs all year with peaks before holidays, proms and weddings. Customers are consumers, many of them regulars who rebook every two to four weeks. Walk-ins are common, and a no-show leaves one technician idle for the length of the service.

How scheduling works in this trade

  • Services combine, so a manicure and pedicure together are one longer booking, sometimes with two technicians working at once. The booking page has to add up the combined time and show only slots that fit.
  • Each technician has different skills and speed. A customer may want a specific person, and the calendar should respect each person's working hours and the services they offer.
  • Shared equipment matters. Pedicure chairs and drying stations are limited, so a slot is open only if both a technician and the equipment are free.
  • Walk-ins fill gaps but can clash with booked clients. Decide which hours accept walk-ins, and keep a short queue so the front desk is not improvising.
  • A nail technician licence is required in most states. Confirm your state board's rules on licences and sanitation; the scheduler only needs to list who is working.

Rules note from our trade research: nail technician licence. This is not legal advice; confirm with your own licensing body.

Questions owners ask

How do nail salons set appointment lengths for different services?

Set each service with its own length, such as basic, gel, extensions and removal, and let add-ons like art add time. Let the customer pick the services and show the total length before they choose a slot. Your own technicians' real pace should set the numbers, not a general rule.

How do I book a manicure and a pedicure together?

Allow multi-service booking so the customer adds both, then schedule them back to back with one technician or side by side with two. Show the combined time and price before they confirm. Check that a pedicure chair is free, since that equipment often limits the slot.

How can a salon let customers choose their technician?

Show each technician's open slots and let the customer pick a person or take the first available. Respect working hours and the services each person offers. Regulars often want the same technician, so remember a preferred person on the customer record for repeat visits.

How do nail salons reduce no-shows?

Send a reminder a day ahead with a link to confirm or reschedule, take a card on file or a deposit for long services, and keep a waitlist to refill a freed slot. State the cancellation policy at booking. A reminder prevents most no-shows because most are forgetfulness.

Should a nail salon require a deposit?

Many do for long services, new customers, groups and holiday dates, where an empty chair costs the most. Regulars often skip it. State the amount and the refund rule before confirmation, and apply it the same way for everyone. A clear policy prevents most arguments at the desk.

How do walk-ins and appointments work together in a salon?

Set aside certain hours or chairs for walk-ins and keep the rest for booked clients, so the two groups do not collide. Keep a short queue with names and expected waits. A walk-in queue is in progress in Apex, so the desk may use a paper list in the meantime.

How do I handle group bookings for weddings and parties?

Take them as a request with the date, headcount and services, then confirm after checking how many technicians and chairs you have. A deposit and a firm headcount deadline are common. Group requests that arrive by message are easy to lose, so collect them on a form.

How can a salon bring clients back on a regular cycle?

Offer the next appointment at checkout using the client's usual interval, such as three weeks. For regulars, a recurring slot removes the booking step. For others, send a rebooking message when they are past their usual interval, since coats and shapes grow out on a predictable timetable.

How are tips and payment handled at a nail salon?

Tips are added at checkout, either to the card or in cash, and may be shared among technicians by a rule you set. A payment processor charges its own rate, and tap-to-pay hardware is not built in Apex yet. Record cash and card the same way so the day's total matches.

What should a nail salon move off the appointment book first?

Start with the booking page and reminders, since they remove the most phone calls and prevent the most no-shows. Next, the client list with preferred technician and service notes. Move gift cards and packages later. Keep the paper book as a backup only while you check the new system for a few weeks.

What owners dislike in an old scheduler, for nail salon

Each item carries a label. Sourced items adapt a complaint with evidence links in our evidence register. Searched by owners items come from real search suggestions. Our read items are our own analysis of this trade, not measured complaints.

  • SourcedOwners report double bookings from stale calendars. In a salon with shared pedicure chairs, a clash puts a client in a seat that is already taken. Evidence item 2 (3 sources)
  • SourcedOwners report follow-ups that continue after the customer replied. A client who answered about rescheduling and gets three more automatic reminders feels ignored by the salon. Evidence item 12 (4 sources)
  • SourcedOwners report texts that show delivered but never arrive. For a salon that depends on reminders to fill chairs, a silent failure is an empty chair. Evidence item 4 (3 sources)
  • SourcedOwners report people who said STOP still getting messages. A salon's client list is personal, and an ignored opt-out is a complaint waiting to happen. Evidence item 18 (3 sources)
  • SourcedOwners report that features arrive as add-ons and the price stacks. Reminders, deposits and online booking each priced apart add up fast for a small salon. Evidence item 16 (5 sources)
  • SourcedOwners report prices rising after year one. A salon with years of client history inside a tool feels the increase and the difficulty of leaving at once. Evidence item 5 (4 sources)
  • SourcedOwners report that cancelling is a nightmare. A salon owner closing a second location should be able to leave from the account, not by a phone call. Evidence item 6 (6 sources)
  • Our read, not a measured complaintMany tools give each service a fixed length. A nail appointment depends on the add-ons and the technician, so a flat 60 minutes leaves gaps and double-ups.
  • Our read, not a measured complaintPer-technician pricing punishes a salon with many part-time stylists. The seat count grows faster than the revenue in busy seasons.
  • Our read, not a measured complaintWalk-ins are a large share of salon traffic. A tool built only around booked slots leaves the front desk running a second list on paper.

Honest limits

Apex has no point-of-sale hardware, card readers or product inventory for retail polish, and its salon pack and walk-in queue are only in progress. Texting needs your own provider account and carrier registration first. Confirm your state board's licence and sanitation rules yourself.
