Dog trainer: scheduling questions answered
How it worksDog training runs on two formats. Group classes, such as puppy basics or reactivity, have a fixed start date, a set number of weekly sessions and a seat limit. Private sessions, at the trainer's space or the client's home, are booked in exact slots and often sold as a package. Demand holds year-round, with a pull from new puppies and holiday boarding. Customers are dog owners, and the schedule depends on which class level a dog is ready for.
How scheduling works in this trade
- A class series is sold as a unit with a start date, and a student who misses week one often cannot simply join in week three, so enrolment closes at a set point.
- Seat limits matter for safety as well as quality, especially in reactivity or puppy classes, so capacity is a hard cap and not a target.
- Private sessions are booked in exact slots and often sold as a bundle of sessions that have to be used within a set period.
- Vaccine records and a signed waiver are usually needed before the first class, and chasing them by hand takes more time than the class does.
- Behavior cases need an intake before the first visit, with the dog's history and the problem described, so the trainer arrives prepared.
Questions owners ask
How do dog trainers schedule group classes?
Set a start date, a fixed number of weekly sessions, a seat limit and a cutoff for joining, then sell the series as one purchase. Show remaining seats on the booking page. Keep a waitlist for a full class so a dropout can be replaced without calling around.
Should a missed class be made up?
That is a policy choice you should write down before the first class. Some trainers offer one make-up within a window, others do not. Whatever you choose, state it at booking so the owner agrees up front, and set a deadline for using any make-up session.
How do I sell a package of private sessions?
Sell a bundle of sessions at one price, with an expiry date, and let the client book each one from a page that shows your open slots. Track how many sessions are left. Prepaid packages smooth your income and discourage clients from dropping out after one session.
How do I collect vaccine records and waivers?
Ask for them at booking, with an upload field for the vaccine record and a signed waiver, and do not confirm the class seat until both are in. A checklist on the client record shows who is missing paperwork before the first class instead of at the door.
How do I handle a dog that is not ready for a class?
Use an intake form and a short evaluation before enrolling dogs in classes with a behavior component. If the dog is not a fit, offer a private session or a different level. Telling the owner why protects the other dogs in the class and your reputation.
What should a cancellation policy say for dog training?
Say how much notice you need, what happens to a class seat or a package session when someone cancels late, and whether fees apply. Because seats are limited, a late cancellation can mean an empty chair, so many trainers charge for no-shows. Keep it short and show it at checkout.
How do I price dog training?
Common models are a price per class series, a price per private session with a discount for a package, and a higher price for behavior consultations. Base it on your costs, your time including prep and notes, and what local trainers charge. Reevaluate when your waitlist grows.
How do I fill a class that has open seats?
Message past clients and the waitlist for similar classes, show the seats left on the booking page and post the class date on your social profiles. Remind people a few days before enrolment closes. Past clients with a young dog are usually your best source.
Can a trainer teach in clients' homes and in a facility?
Yes, but treat them as separate services with different lengths, prices and travel time. For home visits, book by address and window and allow drive time between clients. Group classes stay at the facility with capacity limits. One calendar should show both so you are not double booked.
What should a dog trainer move off paper first?
Start with online class enrolment with seat limits and a waitlist, then waivers and vaccine uploads, then prepaid packages. These replace the most phone calls and paper. Training notes for each dog can come next, since the next session depends on what happened last time.
What owners dislike in an old scheduler, for dog trainer
Each item carries a label. Sourced items adapt a complaint with evidence links in our evidence register. Searched by owners items come from real search suggestions. Our read items are our own analysis of this trade, not measured complaints.
- SourcedOwners report double bookings. In a class that is a seat given to two people, and in a private session it is two clients arriving for the same hour. Evidence item 2 (3 sources)
- SourcedOwners report sequences that keep texting after the customer replied. A puppy owner who has confirmed a class and still gets reminder after reminder will mute the number. Evidence item 12 (4 sources)
- SourcedOwners report texts that show as delivered but never arrive. A missed notice that a class moved means an owner and a nervous dog at a closed door. Evidence item 4 (3 sources)
- SourcedOwners report that every feature is an add-on and the price stacks up. Class booking, packages and waivers sold separately add up for a solo trainer. Evidence item 16 (5 sources)
- SourcedOwners report that each new hire raises the bill under per-user pricing. A trainer who brings in an assistant for busy puppy-class nights does not want a second seat charge. Evidence item 1 (4 sources)
- SourcedOwners report that cancelling is a nightmare. A small trainer who tries a tool and finds it does not fit classes wants to leave without a call. Evidence item 6 (6 sources)
- SourcedOwners report needing three tools stitched together. Class sign-up, waivers and payments in different apps mean a client fills in their details three times. Evidence item 14 (5 sources)
- SourcedOwners report that every update moves the buttons. A trainer who checks the roster from a phone in a training hall loses time when screens change. Evidence item 8 (5 sources)
- Our read, not a measured complaintMost service schedulers book one customer in one slot. A class series with a seat limit and a cutoff for joining is a different model that many tools handle poorly.
- Our read, not a measured complaintPaperwork is the hidden cost. A trainer who chases vaccine records and waivers by text spends unpaid hours before the first class starts.

Honest limits
Apex does not verify vaccine records, grade a dog's behavior or manage a trainer's certification. It stores uploads and forms, nothing more. Group class, package and cancellation fee features are partial, so test your exact class setup before opening enrolment. Texts need your own provider first.
