Set the deposit amount in the rental rules, collect it with the confirmation and state when it is returned. A payment link keeps cash and checks out of the office. Record any damage or overtime that reduces the refund, with the date and a photo.
How do I send reminders to members?
Use one channel per audience and honor opt-out requests. Texting is off until a provider and registered number are connected. A weekly email can carry announcements, and a reminder the day before works for classes and rentals. Keep private matters out of bulk messages.
What should a church move off paper first?

Honest limits
Apex does not handle donations, member giving records, pastoral care notes, attendance or membership rolls. Multi-day events and room resources are only partly built, so check each badge. Nonprofit status and tax questions are for your own advisor, and children's safety policies are yours to set.
