How to switch from Tradify in an afternoon, with undo
The planA small crew with a tidy customer list can move in an afternoon. Years of quotes, job photos and timesheets take longer, and are often best left in the old account as an archive. Import from the old system to Apex is rolling out and still demo status, so check every record.
Before you start
- Keep your old account open until Apex has run a full cycle.
- Count your active users, because Apex tiers are by user count.
- List open quotes and unpaid invoices to finish in the old system.
- Note your accounting link, Xero or QuickBooks Online [6].
- Pause automated reminders in the old account on cutover day.
The steps
- Find the old system's exportLook in the vendor's own help center for customer and job exports. The file format was not verified here [1]. Download all you can and store a dated copy outside the old account.
- LD16Customer export (CSV) at any time(In progress)
- Check the fileOpen it in a spreadsheet and look for blank addresses, merged names and duplicate customers. Decide how much quote and invoice history Apex needs, and leave the rest in the archive.
- LD15Customer import from CSV/other software(In progress)
- Import and compareLoad a sample into Apex and compare ten customers against the old screens for address, phone and notes. Import is demo status, so the first pass is a trial run.
- OB02Import from competitor with side-by-side check(Rolling out)
- OB04Import from Jobber / HCP / Workiz / ServiceTitan exports(Rolling out)
- Rebuild recurring jobsRecreate repeating work with its schedule, since Tradify lists recurring jobs as a plan feature [3]. Check each on the calendar. Apex generates recurring jobs only in part, so confirm dates by hand.
- SC10Recurring jobs auto-generated(In progress)
- SC01Drag and drop calendar (day/week/month)(Rolling out)
- Test a request end to endSend a test request through the booking page, watch it arrive pending, confirm it as the owner, then cancel it. This proves the path before a real customer relies on it.
- BK11Booking requires owner approval (request mode)(Built)
- BK24Reschedule / cancel link for customer(Built, rolling out)
- Run both, then cut overKeep quoting and invoicing in Tradify for one cycle while Apex runs alongside [1]. When totals agree, move over and keep your downloaded files as a backup.
- OB14Switch protection (never lose data, ledger)(Rolling out)
Apex status for the import and switch tools is shown beside each step. Status as of 2026-10-07.
Undo plan
In progress
Keep the Tradify account open until Apex has run one full cycle, then going back means continuing with it [1]. Apex can export customers as CSV at any time, and export on cancel is partly built. Switch protection is demo status, so do not expect an automatic rollback.
- OB14Switch protection (never lose data, ledger)(Rolling out)
- AD10Data export on cancel(In progress)
- LD16Customer export (CSV) at any time(In progress)
Switching questions
Is Apex priced per user?
Both price by users, but differently. Tradify lists per-user monthly rates by plan [2]. Apex uses tiers: $59 for one user, $99 for two to five, and $129 for 6 users.
Will my quotes move over?
Do not assume so. Tradify lists quote features by plan [3], and Apex's quote tools are demo status. Finish open quotes in the old system and keep the old account as an archive.
Can I try Apex without losing my current setup?
Yes. Tradify's trial and plans are separate from Apex [5]. Apex offers a 14 day free trial with no card, so you can run both side by side and compare.
