Switching
Switch in an afternoon.
The scary part of changing schedulers is losing your customers and history. So the import is a rehearsal first, reversible after, and your old system stays on until you decide otherwise.

Four steps
Export from your old tool
Use your old tool's own export for customers, jobs, invoices and the rest. Drop the files in. CSV or Excel.
Check the match
Apex guesses the system and what each file holds. You see every column, an example value and where it goes, and you can change it.
Read the dry run
A list of exactly what will be created. Nothing is saved yet.
Confirm, run side by side, then cut over
Confirm when it looks right. Keep both systems running, refresh from a new export, and work through the cutover checklist when you are ready.
What protects you
We never ask for your old password
You export your own data from your old tool and drop the file in. We do not log in to your old account, and we do not accept passwords or access keys for it.
Nothing is saved until you press Confirm
You see a dry run first: every record that would be created, what was merged as a duplicate, what was skipped and why.
One click undoes the whole import
The import is tracked as one group. Undo removes exactly what it added and nothing else.
Your old system keeps running
Run side by side for as long as you want, from a few days to a month. Refresh from a new export whenever you like and see what is new or changed before anything is applied.
Nobody gets a text because of an import
Imported customers are marked marketing consent unknown unless your old system recorded a dated opt-in. Messaging stays off until you switch it on, and it never reaches anyone on a stop list.
You can always leave
One button downloads everything as plain CSV files that any other tool can read.
What comes over
- Customers, with phones, emails and addresses
- Extra contacts on a customer, such as a spouse or an office manager
- Service history and upcoming appointments
- Invoices, kept as history only: Apex does not bill, email or text about them
- Notes and tags
- Recurring schedules
- Price lists
Anything that does not fit a field is kept as a note, not thrown away. The report lists every row that was skipped and why.
The cutover checklist
Apex will not let you finish the cutover until these are done: your data matches your old system, you have run both for the time you chose, you reviewed who has opted in, your stop list is handled, you downloaded the rollback export, texting registration is approved, you decided about messaging, and new bookings are pointed at Apex.
